In this wonderful world of technology, email invitations are acceptable but make certain you have included something truly unique in the subject line. You do not want the invitation to go unnoticed or to be considered SPAM. Also make sure to send them out individual messages or with the list in the BCC field to protect your clients and customers identity. It is alwasy good practice to include a link to unsubscribe from your email list. Open house is an often misunderstood event term so you must clearly define its meaning and parameters in your invitation. Most business open houses take place immediately after work and the heaviest flow of guests will be 5:30-6:00, considering that in work-related events most guests stay little more than one hour. In our experience, the best results for business occasion events are held Monday to Thursday. To accommodate a large group in a modest space you can list staggered hours on your invitation. For example, by inviting business associates from 5-7:30 PM and family and friends from 7:00-8:00 PM you will smooth out your peak time. If you have a huge guest list you might have to repeat your party the next night for the second half of your list. Use Your Chamber of Commerce. If you’re a Chamber of Commerce member, ask them to advertise your event to other members on their website and newsletter. Invite chamber members to stop by and mingle with the crowd.
Placement of food and drink are another way to keep the traffic flowing. Sarasota Catering Company, as a matter of practice, will visit your office or venue and make recommendations for the bar and food placement to best meet the needs of your space, event, and group..
Grazing-style buffet service, combined with small bites or hors d’oeuvres passed by servers is the ideal menu plan to feed many guests at an open house. Grazing can be facilitated by laying out one long food table. Utilize conference tables, book shelves, dividers, credenzas, or accent tables. It is a great way to keep your flow working and lead your guest for a tour of your entire office space! This delightful concept of strollin’, snackin’ and sippin’ is not only hospitable but sociable, too. As guests mix and mingle they can sample all of the food. Easy to eat finger type of foods are perfect for guests at crowded gatherings. If you have carpet or high end materials, ask your event planner to help guide in less messy options.
Post one of your staff members at the front door to greet your guest, it is a welcoming touch. Offer a beverage at the entrance will also add to the ambiance and limit any lines in that area. Be sure to ask your guests for their business cards at the beginning. This way you can follow up with them after the event.
Place tag on right shoulder. When you shake hands your eye will naturally fall in that exact area. If possible, have tags written (actually, block letter printed) in advance. If you miss the person’s name, don’t be afraid to ask them for it. The point is to meet people and let them meet you and yoru wonderful business. Show them you are a class "A" professional.
Once you have held a successful open house, that doesn’t mean you’re done. Sure the crowd might have been large but you need to follow-up with attendees. Personally thank people for attending.
